Introduction

The Urban Ecology Institute (UEI) UEI seeks to hire a Manager of Administrative Systems who will work closely with the Director of Finance and Development. This is an exciting opportunity to manage important business functions in a growing, vibrant non profit. UEI is an independent organization, which is associated with Boston College and housed at Boston College School of Law.


Responsibilities

The central responsibilities of this position are divided as follows:

  • Bookkeeping (40%)
  • Development Operations (30%)
  • Office Management (20%)
  • HR (5%)
  • IT (5%) (IT responsibilities center on liaison function with Boston College)

The Manager of Administrative Systems will:

  • Manage the finances of the organization using Quickbooks software, which will include billing, invoices, tracking grants, and running and analyzing financial reports. This position also works closely with our part-time accountant.
  • Manage Development Operations, including all issues related to database management, annual fund correspondence, invoicing for government grants, gift entry and acknowledgements.
  • Serve as a liaison to Boston College for information technology, facilities and human resources.
  • Manage office records, personnel files, technology, facilities, and supplies.
  • Support the Executive Director and Division Directors with Board Relations and Communications.

Required Experience

  • BS or BA or equivalent experience in business management, accounting, or bookkeeping and strong interest in financial management.
  • Experience in accounting at a non-profit is a plus.
  • Experience with Quickbooks is a plus, but training can be provided.
  • Membership and Development database management experience is a plus.
  • Experience with the Microsoft Office Suite.
  • Exceptional organizational skills and ability to handle many tasks and challenges at once.
  • Ability to work well with many different members of the organization to keep operations running smoothly.

Compensation

The salary range is $35,000 to $45,000. UEI provides a generous benefits package, including health, disability and life insurance and payments into a Supplemental Employee Pension plan.
